Setting up staff PINs

PINs let cashiers sign in to the POS in 4 taps without typing emails or passwords. Here's how to set them up.

When the counter is busy and the next shift starts, you don't want your cashier typing email and password every time. PINs are 4-digit codes that let staff sign in to the POS in seconds. They work alongside (not instead of) email/password login โ€” staff still have a real account, the PIN is just a fast shortcut at the counter.

How PIN login works

On the login screen, there's a small "Staff? Sign in with PIN" link. Tapping it opens the PIN keypad. The cashier types their 4 digits and they're in. No email, no password.

PIN login is scoped to a branch โ€” the keypad is associated with whichever branch the device was last used for. A stolen PIN can't be used from a different location.

Two ways to set a PIN

  • Owner sets it โ€” useful when onboarding a new cashier; the owner just picks a PIN and tells them
  • Staff sets their own โ€” they can change it any time from their Account settings

How to set a PIN as the owner

1

Go to Settings โ†’ Team

From the sidebar, tap Settings, then Team. You'll see the staff list.

2

Tap the staff member you want to set a PIN for

A detail panel opens showing their info. Look for the PIN section.

3

Tap Set PIN (or Change PIN if they have one)

A dialog appears with a 4-digit input. Type a PIN and tap Save. The dialog confirms it's set.

Pick a memorable but not obvious PIN

Avoid 1234, 0000, or the staff member's birthdate. Pick something they'll remember but a stranger can't guess. Two random numbers + their year of joining is a decent pattern (e.g. 8324).

4

Tell the staff member their PIN

Verbally is fine. Don't put it in writing on the counter. They can change it later if they prefer their own.

How a staff member sets their own PIN

1

They sign in with email + password first

Use the normal login page once with email and password.

2

Go to Settings โ†’ Account

From the sidebar, tap Settings, then Account. There's a Change PIN button on this page.

3

Set the new PIN

Type a 4-digit PIN, confirm it, save. From now on they can sign in via the PIN keypad on the counter device.

How staff sign in with a PIN

1

Open the login page on the counter device

From the login screen (or after the previous staff signs out), tap Staff? Sign in with PIN.

2

Type the PIN

The keypad shows. Type your 4 digits. Amari verifies and takes you straight to the POS page.

3

If the PIN is wrong

You get a small error message and the keypad clears. After 5 wrong attempts, PIN login is temporarily disabled โ€” fall back to email/password login.

PIN security

  • PINs are stored hashed โ€” even the owner can't see what a staff member's PIN actually is, only set or reset it
  • PINs are branch-scoped โ€” a PIN only works on devices tied to the right branch
  • 5 wrong attempts โ€” temporarily blocks PIN login on that device
  • Deactivating a staff member immediately invalidates their PIN

Forgot your PIN?

Sign in with email + password, go to Settings โ†’ Account, and set a new PIN. Or ask the owner to reset it for you from Settings โ†’ Team.
