Setting low-stock thresholds

Tell Amari when to warn you that an item is running low. Get it right and you'll never run out mid-shift.

Every ingredient and supply in Amari has a low-stock threshold โ€” the quantity below which Amari shows a red warning and pre-fills the item in replenishment requests. Setting the right threshold prevents running out mid-shift while avoiding over-ordering.

How thresholds work

When an item's current stock (shelf + storage) drops to or below its threshold, three things happen:

  • The item turns red on the Inventory page with a "Low Stock" label
  • The Replenish button badge count increases
  • The item is pre-filled in new replenishment requests so staff don't need to search for it

How to set a threshold

Go to Store โ†’ Ingredients (or Supplies). Open the item you want to configure. Find the Low Stock Threshold field (also called "Min QTY"). Enter the quantity โ€” in the item's storage unit โ€” below which Amari should warn you.

For example, if you use about 100 Regular Cups per day and your delivery takes 2 days, set the threshold to 200 so you get warned with enough time to reorder.

What number should I use?

The right threshold depends on two things:

  • Daily usage โ€” how many you consume on an average day
  • Lead time โ€” how many days from request to delivery

A safe formula: threshold = daily usage ร— lead time ร— 1.5

The 1.5x buffer accounts for busy days and weekends. If you use 50 cups/day and delivery takes 2 days: threshold = 50 ร— 2 ร— 1.5 = 150.

Check Reports for daily usage

The Reports page's "Top Consumed" section shows exactly how much of each ingredient is consumed per period. Use Month to Date and divide by days to get a daily average. Much more accurate than guessing.

Common threshold examples

  • Regular Cup 12oz โ€” 100 (you burn through these fast)
  • Large Cup 22oz โ€” 50 (less volume than regular)
  • Powder - Matcha โ€” 1 (1 pack, since you use ~0.5 pack/day)
  • Big Pork Siomai โ€” 20 (pieces, enough for 5 orders of 4 each)
  • Bottled Water โ€” 10 (bottles)
  • Ice โ€” 1 (sack)

Threshold = 0 means no warning

If you leave the threshold at 0, Amari never warns you about this item. Use this for things you don't need to track closely โ€” maybe a napkin holder with unlimited supply.
