Once your branch has products, you need people to run the counter. Amari lets you invite staff members by email. They set up their own password, then you give them a 4-digit PIN so they can sign in quickly between shifts.
Before you start
- You're signed in as Owner (staff can't invite other staff)
- You have the email address of the person you want to invite
- The branch they'll work at is already created
Owner vs Staff โ what they can each do
Before inviting, pick the right role. Amari has two roles:
- Owner โ full access. Can manage products, branches, team, billing, reports, accounting, settings. There's usually only one owner per organization.
- Staff โ counter-focused. Can run the POS, take sales, log shift expenses, count inventory, request replenishment. Cannot see financial reports, change products, manage other staff, or touch billing.
Cashiers and kitchen crew are Staff. Only invite people as Owner if they're co-owners of the business.
How to invite a staff member
Go to Settings โ Team
From the sidebar, tap Settings, then Team. You'll see a list of current team members grouped by role.
Tap + Invite Member
A form appears with fields for the invite:
- Email โ the person's email address. They'll receive the invite link here.
- Name โ their display name (shows on receipts and reports)
- Role โ Owner or Staff
- Branch โ which branch they'll work at. Staff are locked to this branch; owners see all branches.
Tap Send Invite
Amari sends an invite email to the address you entered. The invite link is valid for 7 days. If it expires, you can resend it from the Team page.
If the invite email doesn't arrive, ask the person to check spam/junk. Gmail sometimes classifies automated invites as promotional.
Staff accepts the invite
The invited person clicks the link in the email, enters a password they choose, and lands in the app. They immediately have access โ you don't need to approve anything.
Set up their PIN (recommended)
For quick counter logins, each staff member needs a 4-digit PIN. They can set it themselves from their Account page, or you can set it for them from the Team page. With a PIN, they can switch user at the POS with just 4 taps โ no typing email and password.
PIN login vs email login
Both work. Here's when to use each:
- Email + password โ used on the full login page. Slow but secure. Use this when signing in for the first time on a new device, or for owners accessing the app on their personal phone.
- PIN โ used on the "Staff? Sign in with PIN" page. Fast, designed for the counter tablet where multiple cashiers share the device. The PIN only works when the tablet is already associated with a branch, so a stolen PIN can't be used from somewhere else.
Removing a staff member
When someone leaves, go to Settings โ Team, find their row, and tap the โฎ menu. Choose Deactivate. This:
- Immediately blocks their login (email and PIN)
- Keeps their historical sales data intact (so reports still work)
- Hides them from the POS staff clock-in list
Don't just delete โ deactivate
Hard-deleting a staff member would orphan every sale they ever rang up. Always deactivate instead. They disappear from everywhere active but their history stays clean.
